OneCard Picture Policy & Guidelines

The following guidelines are to be used as policy regarding the issuing and usage of OneCard pictures provided by the OneCard Office in both digital and printed media to to WLU departments, staff, faculty and individuals recognized by WLU.  

 1. Strict Adherence to FIPPA (Freedom of Information and Protection of Privacy) policy to ensure privacy and confidentiality, meaning that only authorized individuals performing work related duties shall have access to the pictures (both digital & printed).

2. Both digital and printed OneCard pictures are to be secured at all times from un-authorized access whether intention or accidental.

3. No resale of pictures or lists of OneCard pictures, in either digital or printed media, to other faculties, departments or individuals.

4. OneCard pictures issued to any department, faculty or individual are considered expired at the end of each term and as such all media, both digital and printed, must be destroyed in an appropriate manner as to not allow un-authorized access to pictures.

5. Digital copies of media will only be issued to the department, faculty or individual after the drop/add cutoff date for courses has been met and only once per term. Special circumstances can be considered on a case by case basis.

If at any time these requirements cannot be met then future access to this service will be jeopardized and there may also be severe consequences of any FIPPA infractions.
